Overview

The main window menus run along the top of the application, following the basic standards for Windows applications. These options provide access to tasks such as creating new records, printing, configuring the system, importing or exporting data, and other tools and wizards.

Keyboard shortcut combinations are indicated next to the most commonly used menu options.

Components

File Menu

Menu ItemDefinition
New Item Creates a new record
This button is contextual, meaning that its functionality changes depending on what part of the system you are in. When looking at the Personnel List for example, choosing File → New Item will create a new Personnel Record. This functionality, matches the New Form button on the Horizontal Toolbar.
Search Searches for records
This button is contextual, meaning that its functionality changes depending on what part of the system you are in. When looking at the Personnel List for example, choosing File → Search will open a search dialog with options specific to Personnel. This functionality, matches the Binoculars button on the Horizontal Toolbar.
Cancel Cancels the loading of a list
This button is contextual, meaning that its functionality changes depending on what part of the system you are in. This functionality matches that of the Stop button on the Horizontal Toolbar.
Refresh Refreshes the contents of a list
  • If simply clicked, the button reloads the contents of the current list, based upon whatever searching or filtering criteria is currently being applied
  • If the adjacent down arrow is clicked, the button gives the option to Reset List in addition to Reload List. Choosing Reset List will clear any search or filter criteria applied, at the same time refreshing the list.
This functionality matches that of the Refresh button on the Horizontal Toolbar.
Print Prints the contents of a list or form
This functionality matches that of the Print button on the Horizontal Toolbar. See the Printing page for full details on the many print features available in CMS.
Client: Mileage App Defines the mileage application to be used on this machine
If you have purchased mileage integration, select the appropriate application in the list to have CMS query this software for mileage in the system.
Client: Switch to Another Version Allows for switching between versions of CMS
Occasionally it is useful to revert to an older version. Choosing this option will display a list of revisions compatible with the current version installed on your server. Select the version you wish to revert to and CMS will automatically downgrade and log back in. There are some potential problems with using an older version, and therefore this option should not be used without the advice of a Tailwind Support Staff.
Client: Refresh All Cached Data Refreshes information stored in the local client cache
This is not normally necessary, however is occasionally helpful when system configuration or security changes have been made while users are logged in to the system. Select this option to ensure a machine is using the latest system configuration and security definitions.
Client: Data Export Exports order and dispatch data to a file
Allows for exporting of order and dispatch information to an Excel compatible file format. See Data Export Format: Dispatches and Data Export Format: Orders for full details on the export format.
Server: Upload Custom Report/File Uploads a file into the database
This is the function most typically used for installing a custom report in CMS. See HOWTO: Install a New Custom Report for full details.
Server: Run SQL Script Executes a SQL script on the database
SQL scripts can be written to make changes to large data sets, and to perform other maintenance type tasks. This option should only be used under the direction of a Tailwind Support Staff.
Server: Check Data Integrity Scans the system for data integrity problems
This launches the Data Integrity Wizard, which will scan your system for data problems and offer to fix them. As this wizard can make large changes to data in the system, it is best to seek the advice of Tailwind Support Staff before making any changes through the Data Integrity Wizard.
Server: Optimize Database Removes unnecessary files and data from the database
This option scans the CMS database for any changes that can be made to enhance performance and save disk space. This tool can be safely run at any time, however it should be noted that performance increases are not likely to take place with frequent use of this tool, and that running the tool during business hours will slow down the performance of your server.
Server: Backup Now Makes an immediate backup of the database
This option runs a SQL backup immediately, and is useful if you notice that a server backup has failed, or you are going to move the server or perform another operation that may jeopardize data integrity.


Exit Closes the application


New Menu

Item Creates a new record
The options within this list allow for quick access to the creation of new records within the system, including templates. Choose the desired record type to be prompted with a new blank form or wizard. Note the keyboard shortcuts listed next to some items.


View Menu

Toolbar Toggles display of the Horizontal Toolbar
Status Bar Toggles display of the status bar at the bottom of the main CMS application window.
Local Preferences Opens the Local Preferences dialog
Local preferences allow for machine-specific client configuration. Viewing preferences and other user-specific configuration options are changed here. See Local Preferences for further details.
System Configuration Opens the System Configuration
The System Configuration defines the system wide configuration of CMS. This includes things like how to determine posting dates, backup schedules and charge types. See the System Configuration portal for further details.
Position of All Tractors (From Satellite) Opens a map with current tractor locations
This option spawns a web browser with Google Maps, and a marker indicating the last known position of each tractor as indicated by the satellite tracking interface.
Current Exchange Displays the current exchange rate
This option is display only, and indicates the current exchange rate as defined in the System Configuration.


Tools Menu

Menu ItemDefinition
Operations: Quick Miles Launches the Quick Miles query window
Allows for quick access to a simple query in your integrated mileage application.
Operations: Location Sequence Auditing Wizard Highlights overlapping or implausible dates
This wizard presents locations travelled by a given tractor and highlights instances where dates are overlapping or otherwise implausible dates. See the Location Sequence Auditing Wizard page for further details.
Operations: Import PODs Launches the POD Import Wizard
This wizard imports a batch of files from a given directory and attaches them to the related record in CMS. See the POD Import Wizard document for further details.
Operations: Blind Bill of Lading Launches the Blind BOL dialog
This tool allows for quick printing of a blind BOL, without any supporting records within CMS.
Receivables: Incoming Cheque(s) Wizard Receives incoming cheques and applies payment
Allows for receiving multiple cheques and applying their payment to the appropriate record. Handles overpayments and short payments automatically. See Incoming Cheque Wizard for full details.
Accounting: Checks & Balances Prints A/R and A/P Totals
Displays a very accurate indicator of A/R and A/P opening and closing balances for a given date range.

Receivables

  • Starting A/R represents the outstanding A/R balance carried into the date range selected
  • Revenue indicates revenue earned in the date range selected
  • Payment indicates payments received during the selected date range
  • Ending A/R (calculated) indicates the total of Starting A/R + Revenue - Payments
  • Ending A/R (queried) indicates to the ending A/R for the selected month as determined by a database query, and should always match the calculated value

Payables

  • Starting A/P represents the outstanding A/P balance carried into the date range selected
  • Expense indicates cost acquired in the date range selected
  • Payment indicates payments made during the selected date range
  • Ending A/P (calculated) indicates the total of Starting A/P + Revenue - Payments
  • Ending A/P (queried) indicates to the ending A/P for the selected month as determined by a database query, and should always match the calculated value
Receivables: Currency Validation Wizard Displays and manages customers with transactions in multiple currencies
Indicates how many transactions a given customer has in each currency, and allows for the automatic transfer of bills or invoices to alternate vendor or customer records. Particularly useful when exporting data to Quickbooks, which does not support multiple currencies for a given customer or vendor.
Receivables: Synchronize with Accounting Application Launches the Accounting Synchronization Wizard
Allows for transferring of data to and from an external accounting application. See HOWTO: Synchronize CMS data with Quickbooks and HOWTO: Synchronize CMS data with Simply Accounting for further details.
Misc: Wrong Fax # Wizard Launches the Wrong Fax Number Wizard
Allows for quick removal of incorrect fax numbers from the system. Enter the phone number you wish to remove and all references to it within the database will be returned. Select any you wish to remove from the system.


Recently Used Menu

Menu ItemDefinition
Items Lists the most recently used records
Allows for quick access to customers, vendors and other records that have been recently opened.


Help Menu

Menu ItemDefinition
Tailwind Customer Portal Loads the Tailwind Customer Portal inside of CMS
Allows for quick access to open tickets, program updates and documentation.
CMS Changelog Loads the Tailwind CMS Changelog
Displays all bugs fixed and features added between two versions.
CMS Copyright Information Displays copyright and license information for your Tailwind CMS software.
Lookup Current IP Address Displays IP address of current machine
Check Tailwind Agent Indicates the status of the Tailwind Agent
